Custom merch projects often begin with a deadline. An event date. A launch. A seasonal push.

By the time merch becomes urgent, the timeline usually feels tight — and that’s when stress creeps in. But most timeline challenges don’t come from major mistakes. They come from small delays that add up along the way.

That’s why starting earlier makes such a difference.

Custom Merch Timelines Are Built In Stages

Every merch project moves through a series of steps:

  • Product selectionThe options are endless. This often takes longer when there are too many decision makers involved.

  • Artwork preparation – Depending on the type of printing, embroidery, size, and materials, we need the correct type of file to produce the best decoration for you.

  • Proofing and approvals – This stage often shines a light on mistakes or things that a client wants to change once they see how it’s going to look on a t-shirt, a bag or whatever product. Artwork revisions and/or unapproved proofs can delay production.

  • Production scheduling – We have to schedule time on the print machines for each project.

  • Delivery timing – The event date isn’t the best deadline.  Typically, our clients need time to sort or organize items. Make the deadline the day you want to have them in your hands.  Shipping and coordinating delivery can also delay the project.

Each stage depends on the one before it. None of these steps are overly complex, but they work best when there’s breathing room between them.

When projects start late, there’s less flexibility if changes are needed — and changes are a normal part of the process.

Why Approvals Matter More Than People Realize

Proofs exist to protect quality and accuracy. They’re an important checkpoint, and revisions are always part of creating something you feel confident putting your name on.

The key thing to understand is that production timelines are set once artwork is finalized. Adjustments made later in the process can affect scheduling, availability, and delivery windows.

It’s not about rushing decisions. It’s about understanding that each approval unlocks the next step.

Earlier approvals give us more flexibility. Later changes are still possible — they just influence what comes next.

The Real Benefit of Starting Early

Starting early doesn’t mean committing too soon. It means opening up more options.

When there’s time to plan, you gain:

  • Access to a wider range of products

  • Opportunities for better pricing

  • Time to explore alternatives that fit your budget

  • Fewer last-minute decisions under pressure

In short, early planning leads to calmer projects and better outcomes.

What “Starting Early” Actually Looks Like

You don’t need final artwork or a locked-in plan to begin.

Starting early can be:

  • A rough idea of what you need

  • A general budget range

  • A timeline you’re working toward

  • A simple “we’re thinking about this” conversation

That early visibility allows us to guide decisions, flag timing considerations, and help shape the project before constraints appear.
